Privacy Policy

Overview

BookSpace is an administrative business tool for reading rooms and study libraries. It enables an authorized administrator to manage physical library spaces, students, enrollments, seats, fees, receipts, reports, and backups.

Information handled by the app

Information entered by an administrator may include student names, phone numbers, email addresses, dates of birth, gender, blood group, postal addresses, profile photographs, identity-document details and images, administrative notes, enrollments, seat reservations, attendance records, fee records, payment methods, and receipt information.

How information is used

Information is used to provide the features requested by the administrator, including student registration, enrollment management, seat assignment, attendance tracking, package renewals, fee tracking, receipt generation, reporting, and backup.

Attendance records

BookSpace can record a student’s check-in and check-out time, associated branch and optional seat, notes, and attendance source. These attendance records are operational library data stored locally on the administrator’s device. The current QR scanner is not connected. Attendance data is not automatically uploaded to a BookSpace cloud service.

Biometric-device clarification

BookSpace includes optional configuration fields and a vendor-neutral software foundation for a future administrator-controlled biometric device connected over the local network. The current app does not capture, receive, store, or upload fingerprint templates, facial scans, biometric images, or other biometric identifiers. It stores only local configuration values such as whether the adapter is enabled, the device’s local-network address and port, and an administrator-entered device identifier. Enabling the configuration does not activate biometric data collection without a separately implemented compatible device integration.

Storage and sharing

Operational library records and uploaded student documents are stored locally on the administrator’s device in the current version. BookSpace does not automatically upload these operational records to a BookSpace cloud service. Administrators may intentionally export backups, CSV reports, or PDF receipts and share them using other apps installed on the device.

Backups and restore

Automatic backups and safety backups created before a restore are saved in app-private storage on the same device. A complete backup may include library structure, student and document records, enrollments, seats, payments, attendance, reminders, and layout preferences. Administrators can also intentionally export a portable backup file to a location or service they choose. Exported files are outside BookSpace’s control and remain until the administrator deletes them. During restore, BookSpace shows a preview and creates a local safety backup before replacing current operational records.

Administrator authentication

Firebase Authentication may process administrator email addresses, account identifiers, and authentication information. Google Sign-In may be available when enabled for the Firebase project. Information processed by Google and Firebase is governed by their applicable terms and privacy policies.

Retention and deletion

The administrator controls locally stored operational data. Records can be removed within the app where supported, or all local app data can be removed by clearing application storage or uninstalling BookSpace. Exported files remain wherever the administrator saved or shared them. Deleting a Firebase administrator account does not remotely erase local records or exported copies. Authentication-account deletion requests can be submitted through the official BookSpace deletion form.

Security

Reasonable technical measures are used, but no storage or transmission method can be guaranteed completely secure. Administrators should protect their devices, restrict access, and keep appropriate backups.

Children

BookSpace is not directed to children. Library administrators are responsible for having an appropriate legal basis and consent when they record information about minors.

Changes

This policy may change when product features, third-party services, or legal requirements change. The effective date above will be updated when a revised policy is published.
